An Upgraded eApp System is Coming Soon! Everything You Need to Know!

DAR’s eApplication system, which is currently used for online new member applications, is getting an upgrade! But what does that mean for you?

The upgraded new eApplication system addresses the limitations and hurdles both prospective members and chapter officers have faced while completing online new member applications. Our goal is to make the user’s experience more intuitive, easy to use and streamlined.

The upgraded eApplication system will replace the current system, and there will not be a way to migrate over any existing in progress eApps. Ahead of the current system being retired, and to help with a smooth transition, deadlines have been set for all the various stages of the eApp process. Here are the important dates to be aware of: 

Saturday, May 31, 2025, 12:00am (midnight) ET – Cut Off for Any New eApp Invitations   

All eApplications must be initiated prior to this deadline. After this date, you must submit a paper application or wait until the new upgraded eApp system roll-out.

After May 31, Mid-Level Reviewers will be working behind the scenes to get all those submitted eApps approved. If you do get an eApp returned, please update and resubmit it as soon as possible. Again, they will NOT transfer over to the new system.

Tech staff will work to get all eApps moved through the system. Thank you for being patient with all the issues, hence the need for a new system.

Thursday, July 31, 2025, 12:00am (midnight) ET – Cut Off for Any New Submissions 

Once an eApp has been created, you have until July 31, 2025, for the eApp to move successfully through Chapter and Mid-Level Reviews. Any eApps in process and not successfully reviewed by Chapters or Mid-Level reviewers by July 31, 2025, will expire. Meaning the application will need to be resubmitted as a paper application or wait until the new upgraded eApp system roll-out.

After July 31, the team will work to get all the eApps verified as soon as possible. You may see some of these verified before the paper apps in the office because we do not want them lost when the old system is retired.

During this time, please be working to complete any AIRs or Substitute Ancestors.

Next Phase – Down Time Between Cut-Off and Roll Out of the New System 

After the cut-off date, and all eApps are verified, an intense testing phase for the upgraded eApp system will begin to make sure everything is running smoothly for you.

All eApps in the old system should be verified and completed by September 1, 2025. If any eApps are in the system at that time, because of AIRs or other issues, they will not transfer over to the new system and will disappear.

Your Role!

So, what do you do in the meantime? Check back and be on the lookout for any new messages and announcements. More information will be shared through other newsletters, blog posts, the DOC, announcements on the eApplication home page and the member’s website. You can start preparing for the new system by taking the eApp GEP course (if you haven’t already). The basic information will be the same, but the course will get an upgrade, too, after the new system is in place, and when we can get some cool screenshots! The MLR course is also available for you to take, to get an idea of what the MLRs are looking for during reviews. If you want to wait for the new platform, start preparing the documents you will need to submit when we have the new system in place! Make sure they are digitized and present a clear image.

Most importantly, start getting excited about the new and improved eApp system coming this fall!

IMPORTANT NOTICE: The Electronic Application Process can only be used for Ancestors that are already fully established with the DAR. You may not submit an eApplication for the following: 

  • Establishing a New Ancestor (not in the Ancestor Database),
  • Patriot is coded FAMPCS or TRNWAN
  • Using DNA
  • Using an Analysis (compiling indirect evidence to show a relationship)
  • Using a Service Study
  • The traditional paper application, available on the Members' website, must be used if any of these apply.
